END-USER LICENSE AGREEMENT FOR Bill’s POS Software

 

Attention: You certify that you are not a minor and that you agree to be bound by all of the terms and conditions set out in this License.  You agree to be responsible for any and all service provider fees. This agreement does not grant you any rights to patents, copyrights, trade secrets, trademarks (whether registered on unregistered), or any other rights of this software. You may not transfer, rent, lease, or reverse engineer this software. Copying, duplicating, selling or distributing of this software.  Bill’s POS provides you with a Product and grants you a non-exclusive license to Use the Product in accordance with the terms of this License 

 

One copy of the enclosed software package only can be use on a single PC. Bill’s POS makes no warranty or representation, either express or implied with respect to this software, any associated hardware, and documentation is licensed and sold “as is”

And you assume the entire risk, cost and liability that result from using this software and any associated hardware. In no event will Bill’s POS be liable to you or anyone for any damages, including but not limited to lost profits, lost savings, or other incidental or consequential damages arising out of the use or inability to use this software and any associated hardware.

Phone: Single-line access with Caller ID service from your telephone company required.

Installation Instructions

 

 
Insert the disc in your CD-ROM/DVD-ROM drive.

 
If auto-run is enabled

1.      Click on Install POS Software and follow the directions

2.      2nd L Support is optional.

3.      If no setup dialog box appears. See instructions below.

 

 
If auto-run is disabled

1.      Click the Start Button.

2.      Click on Run or go to Windows Explorer

3.      Enter D:\Setup\Setup.exe or E:\

 

 

For win98 user:

After software has been installed, enter your password “1133” and you will see Msg “Class not registered looking for object with CLSID” please install the file COM98.exe and DCM98CFG.exe from your CD-Rom “D:” or use your office XP CD to upgrade your windows.

 

 
Getting Started Start > Programs > Bill POS …

You can make a Create Shortcut of Bill POS 4 put it in StartUp from the submenu. Every time you start up your PC, BillPOS 4 program will start running automatically.

 

 

 

 

 

 

 

 

 

 

 

 

 


Pre Set Password:

Important Information: You can over write the information on those demo employees or delete them. But you must leave one employee with the level3 access code on record. Without that you will not be enable to access the back Office.

Take Out and Delivery

Caller ID feature will be enabled once you enter the Take out and delivery module.  In order for CID to work you must have CID service from your local phone company and you need the fax modem that will support CID.  (Not all the Fax modem will support ID and even some modem do support CID and it many not work with the software too.)

 

 

 

 

 

(If you order Item add up automatically. Example: enter 1. Coka and enter 1. Coka again and one the Guest check it will show 2.Coke. To disable this go to Back Office > Settings > Main Information uncheck Sort TO Receipt to disable.)

 

 

0. Order Listing: By click on that item to delete then.

 

1.         Pick up time will also appear on Guest check when you print out.

 

2.            Check Number: Enter check number if you want to recall the order.

 

3.            Press  to enter customer’s phone number including area code. Then the address will automatically appear, if available. Otherwise, you will be asked if you want to save the customer

 

4.            Employee’s ID: Four digit only.

5.            Press  to edit existing customer addresses.

 

6.            Address will automatically print on receipt.  Press    to remove the address, or click the address to add it again.

 

7.            Press to enter second customer’s name and it will appear above the clock in upper left corner

 

8.         Exit this window.    

9.         Open Cash drawer: Enter level 2 or 3 passwords in Number Pay to open drawer.  See Security Setting. (Your printer software driver can be control the cash drawer too - If you see every time printer is printing and your cash drawer open) Disenable this: go to your Window Control Panel  > Printer and Faxes: Right click on your receipt printer and select Properties  and uncheck the cash drawer. (Reference your printer manual for more details)

 

10.         If you enter the cash amount in Tender, i.e. 24.99  the cash drawer will open. After you press Print Receipt (Software will open the cash drawer only when you enter the cash)

 

11.       Notes: Similar to Special Request, but standard price can be preset.

19.       Topping:Add/Edit Topping or others with pro set pricing.

            To Half Topping: Switch full topping and half topping.

            Post Topping: Post topping without exit windows.

            Post Exit: Post topping and exit windows

            Default: Add topping on new line

            Up Line: Add new topping to last line of topping

1.)    Select all the toppings you want to add.

2.)    Click on Post Toppings to post topping to Guest Check and add more Toppings

3.)    Or Post Exit to finish adding new topping.

 

 

20.      Special Request: Add/Edit items and custom pricing.

21.      View Check: View all the check and to recall check.

22.       Combine Checks: Combine two different check total.

                                                               i.      Enter check number on first Guest check box.

                                                             ii.      Enter 2nd check number on 2nd Guest check box.

                                                            iii.      Click Recall checks

                                                           iv.      Print combine Checks

                                                             v.      Click Tender

 

23.       Split Check: You can split as many checks as you want. Click on the item that you want to move to split and press print, Same for the second or third split checks.

 

24.          +Tax or -Tax:  Add Tax manually (See Settings-> Information -> Togo Tax Rate)

            It only show on the TakeOut and Delivery screen when you set the Tax to be Manual =A
            (This feature only needed on some state.)

 

25.       Delivery Check Out: For Deliver person to check out delivery orders.
1.) Enter employ ID

                2.) Enter Delivery check number

            3.) Click On Save to post.

           

Download New Delivery Orders: Get update with new delivery orders just post.

View Delivered Orders: All delivery order detail when out with delivery person.

 

26.       T = Training Database  B = Business Database. You can click on T or B to switch the database or in Back Office > Settings > Reset (That is two Sales order database in the software. Training database is use train new employees and this database can be deleted in back office > Settings > Reset)

Training data  location: C:\Program Files\Bill POS 4\Tordr.mdb

Business data location: C:\Program Files\Bill POS 4\Ordr.mdb

 

27.       Tap: You can click on new Tap to take new order for other customer and leave the current order open. (Total up to 7 taps) you will see the red check mark on the tap when that’s order on the tap.

            Important Information: All the orders on the Taps will lost if you exit this take out model. Please print all the order out from the taps before you exit this model.  

 

28.       100+: If you have more than 100 items in on section. Example: Item 101. Testing Item 1.25

            Click on 100+ button and enter 01 on your Number pad. (100+, 0, 1)

 

How to Delete Item (Deleting the item off the guest check)

Just click on the item you want to remove on the guest check. This item will be highlighted in blue and release the touch screen or mouse button and this item will be removed from the guest check.

 

How to recall Check (Two ways to recall the guest check)
  • Enter old check# here  then press  to recall old check for add/ edit. Enter a tender amount if you have received payment. Press Printer Receipt to print out this check or press Save only without printing.
  • Click on  and view all the check by click on Last or Next button and click on Recall this Check.
 
 
 
 
 
 
 
 

 

 

Pizzeria Take Out and Delivery

Dine In

 

1.)    If you’re Position is waiter. When you enter your password/employee’s ID at Password screen. Dine In room screen will open after the password is entered. (Set your employee’s Position in Back Office – Customer/Employee – Employees) 

Set the Position to Waiter or Waitress in Employee screen and set the Room too.

 

2.)     Select a table from Dine In room map. (See Settings -> Table Settings for add / remove Rooms or Tables)

 

How to open table or take order and save it?

Enter menu Item and click on Print to Kitchen to save orders

Split Receipt:

1. Click Split Receipt
2. Split the order to 2nd check and click Print Receipt
3. When you open that table again you will see 2 and 3 buttons
(that was the check number your just spitted)
3. Click on 2 and click on Tender Recall to cash out the customer.
4. Click on 3 and click on Tender Recall to cash out the 2nd check.

 

How to Close Table:

1.      Click on Print Receipt to print out customer receipt.

2.      Click Tender Recall to cash out customer.

3.      Click Close Check to close the table.

4.      Return back to Password Screen if you have more than on employees or back to Table if that’s on one employee. (Not all the table in use status will update to the map if you not go back to password screen. Click on the Room button to refresh the screen to update the information on table status.)

    

1. click Split check

2. after split the check click Print Receipt

3. when you open that table again you will see 2 and 3 buttoms

(that was the check number your just spitted)

3. click on 2 and click on Tender Recall to cash out the customer.
4. Click on 3 and click on Tender Recall to cash out the 2nd check.

 

 

 

Delivery check out / Clock In Clock Out:

 

1.) Delivery employee need to enter he/her password.
2.) Enter all the delivery’s Check number he/her going to deliver
3.) Click Save to save the records.
Now you will able to view employee’s delivery details, what order and what time he/her when out for that delivery.

Enter employee ID and computer will save the record and print out a record.

Employees (Employee ID is the Password) Back Office > Customer / Employee

You can add new/edit existing employee information, (Very important for you to setup the access Level and Position. You need a least one employee’s ID/Password with Level 3 password)

If you can not find the position on the position select box that you need and you can enter your own.

The Employee’s report lists employee information such as name, address and social security number, date hired, hourly rate, level, and position.  This report is useful if you want to verify your employees’ information for W2s,

Require Information for setup new employee:

Password, Name, Level, Position.

 

Level 1: Take Out, Dine In, Bar, Delivery Person, Edit/Add Customer, Recall orders and add new items to the orders but can’t remove items from the orders.  (Require Level 2 or Level 3 password)

Level 2: You can set your own access for the level 2

Level 3: Allowed full feature access.

           

Important Information: If you deleted all the employees from the database and you will not able to access to the software.

           

How to fix this Problem:

1.) Visit http://www.poscenter.net/support.htm

                        2.) Download Infor.mdb Your new password: 1133

                        3.) Download this file to your Desktop.

                        4.) Unzip the file

                        5.) Copy this Infor.mdb file to your “C:\Program Files\Bill POS 4\” folder

 

Customer Listing (Quick Steps for Adding a Customer or Prospect)

You can view add basic information about your client and prospects on the customer list.

            From Back Office > Customer Employee > Customer List

The information for your customers is divided into these columns

  1. ID:
  2. Name:
  3. Address
  4. City:
  5. State:
  6. Zip:

Ref: Is 2nd Customer’s data field too. Use for Take Out program, computer will search your customer data field to location your customer information each time when phone rings or number that was enter by you.  If that customer is not in your data field, the program will ask you to “Add New Customer?”  By click on “Yes” computer will search from 2nd data field to locate that customer. (2nd data field can be purchased from Bill’s POS)

To replace exiting data just simply type the new data over the current data and it will be saved.  (Enter “,” at end of Beer/Wine and enter “.” at the end of Liquor.)

(For Take Out: One each section you enter on 01 to 199 menu items. In Dine In each page will only show 36 menu items. You can use up and down page key to continue looking for your menu item. But if you did not enter any thing on number ID 36 and page down key will not show able. Same as 37, if number ID in 37 was empty and Page Up key will not show able too. In order for page to continue you have to enter something “-“, “.”… Same as take out.)

 

2. Add/Edit Menu from your Back Office > Menu Edit

Here is an easier way to edit your menus.

 

Remember: You must click on Save for Add/Edit on each record.

Add New Item: Click on one of the Add New Item button type in new item in description and so on.  Press Save

Delete Item: Select that item and press Del

Enter “,” after Beer/Wine in your menu and “.” for Liquors.

Add your Own Picture (bmp format)

Copy your Picture from other source and paste into C:\Program Files\Bill POS 04\BarPic\ (It need to resize the picture to the size of the button or smaller before you copy and paste in to the folder.

How to add pictures:

1.      Select a Section

2.      Select an item by clicking on that Item then it will turn red.

3.      Select a picture from the Picture Source.

How to delete Bar picture:

1.      Select a Section

2.      Select an item by clicking on it

3.      click on Del Pic to delete the picture off that button.

 

 

 

 

Add Dine Pics

Add your Own Picture (bmp format)

How to add pictures:

Deleted Picture:

Select a button by click on it and click on Del

 

 

Section Rename: Take Out /Delivery and Fine Dine In share the same section name. Take out /Delivery will support full 26 sections. Fine Dine will support first 14 sections.

 

Digit: It should be “2” on all the section it

Printer: All the Order on this section will go to Front Printer fist and can also go to 2nd printer too – Kitchen Printer. You can select Printer A, B, D or S in Screen, tell computer where or which printer you want to send your orders Please references your Printer Setting.

 

Section: Enter your own sections name.

1.      Click on the section button.

2.      Enter the Name on the text box.

 Example: Soup & Salads, Sandwiches, Platters, Kids, Hot Hoagies, Wings, Pizza, Veges

Income Statement: Ctrl + F1

Calculate your Income and expenses.

1.      Enter the data from

C: View second language (Option)

Printer: Print: print all the information on the screen.

Expenses: You can click on expenses total amount to view and edit the details

 

 

Sales Reports (Back Office > Reports)

Reports – Allows you to queue a list of reports for printing or viewing, you can also create and edit the format for reports form, and financial statements in MS Excel.

You can optionally sort this report by days between to view all the transactions invoices total amount information on this window or Employee IDs: columns will view only that employee’s sales record.

Yon can change any of this data field in the window, if necessary.

 

The information for your Sales Reports is divided into these folders

Delivery, Take Out, Dine In, Bar and All

1.       Select a day From and To

2.   Select any folder tab to view all the details on your columns

                        3.   Employees ID: columns will view only that employee’s sales record.

 

Expenses Reports (Back Office > Expense)

You can select list of payments by clicking on life of the window, and enter all your purchase payment or expenses.

 

Favorites Dishes (Back Office > Favorites Dishes)

Record all of sales items from Take Out, Dine In. Bar.

You can optionally sort this report by days between or Top Selling Dishes.

 

Sales Reports: Ctrl + F2

Removed Items (Waste Report)

Cancelled orders will be posted in this report with details.

A Cancelled Order is an order already sent to the kitchen for processing.

 

Drivers Bank

Record your delivery employee’s loan information.

Only owner/manager’s ID could lend money to employees.

 

How to Lend or Repayment:

Main Window: 

1.) Click on Driver Bank.

2.) Select Lend or Payment.  

3.) Click on Lend and enter your owner or manager ID, if the employee ID is correct    borrowing amount will appear.

4.) Select an amount you want to lend to the employee.

5.) Enter this employee’s ID.

6.) Click on Print Receipt.  

 

Security Settings

 

Delete order with password: The computer will record all the details when you send orders to the kitchen.  But you are still able to recall orders to add or delete them.

 

Open Drawer with password: In Take-Out order program you can click on cash drawer to open your drawer anytime without taking an order with owner or manager ID number, by disabling that every employee will be able to open the cash drawer.

 

Print Order w/ Employee ID: In Take-Out or Dine-In you must enter the employee ID before you can print receipts or send orders to kitchen, by clicking the disabled option, the computer will print receipts and send orders to the kitchen without employee ID.

 

Information: Settings > Information or click F5

           

 

 Switch program to support 2nd language.

Font: 2nd language font Size should be set as 12 at default

 

 Displays message “Is this for delivery?” on your take out program when there is an address.

 

Delivery Fee: (for Take Out/Delivery use only)

Enter any amount in this text box and software will automatically add to the order when you printer the receipt for delivery order.

 

Section Auto Open: (for Take Out/Delivery use only)

When click on section in Take Out/Delivery program, and it will open menu item is this section automatically (order by Item name)

 

Tax Rate: Add or Edit             Set: Auto or Option.

·        Level 1: default tax rate for Take out / Delivery program

·        Level 2: default tax rate for Fine Dine In.

·        Level 3: default tax rate for Bar Program.

 

Bar Menu Schedule (It will support Regular, Happy Hour, Band Hour menu.)

This setting will be on all the version of the Bill’s POS software. But Bar program was not included on all the version of Bill’s POS Software. 

R Hrs: Regular Hours Menu. H Hrs: Happy Hour Menu. B Hrs: Band Hour Menu

 

Free Stuff: (Up to 12 Options for Take Out /  Deliver use only.)

·        Tel#: Click on Phone Text and enter phone number manually all the section button will change to area code you was pre set for faster use of enter the 10 digit phone number.

·        Free Stuff: When you click on Notes button and all the Section button will change to Free Stuff menu. Click on Enter button to return back to Section button

 

            Default:   Receipt will print the same as is seen on the screen

Auto: Print out all Free Stuff on bottom of a receipt.

UpLine: Free Stuff, Special Request and Topping will be same line of the orders.

Printer Settings:

         

This software can support up to 5 Printers. We recommend the LPT1 port for Front Printer.

Kitchen Printer: If your kitchen printers are your local printers you can select the printer port in combo box. If your kitchen's printers are connected to another computer you have to setup local network to connect computers. Also, select Network in combo box. 

 

How to set your printer

1.)    Click on Start >Open Printers and Fax > select the kitchen Printer

2.)    Right click the printer you want to share  > select Sharing …

3.)    Click on Sharing tab

4.)    Select Share this Printer

5.)    Click OK

 

How to set your network share printer:

After your finish the peer-to-peer network setup.  You have to set kitchen printer as a share printer in another computer first.

 

Now, you can go back to your first computer check the network and network printer. If you setup properly, this computer will automatically add all network printers to this computer.  See if you setup up properly by open you Windows Explorer in Start > All Programs > Accessories > Windows Explorer. If you Address Bar not in your Windows Explorer, go to View > Toolbars > select Address bar.

1.)    Open My Network Places

2.)    Open Entire Network

3.)    Open Microsoft Windows Network

4.)    Open Work group that you named, and you should see your other computer in that. If not you network not be setup property.

5.)     Select the computer that connects with the kitchen printer. And you should also see the listed name of those printers. If not, that means you network printer not be setup property.

6.)     Copy the text on you address –like “\\Server” to Bill POS software > Back Office > Settings > Printer Settings > In Where  text box.

7.)    Enter the name of the printer in Type and “\” before the printer name.

8.)     What order will be print out on the printer.

9.)     You can optionally to printer each items price on the kitchen printer.

 

Notes: If you have followed the steps listed above and still cannot share this printer, open Windows Firewall. (To open Windows Firewall, click Start, click Control Panel, and then double-click Windows Firewall.) Then, on the Exceptions tab, select the File and Printer Sharing check box.

 

Networking: (Only share Bill POS 4 folder as Share folder not your C:\)

 

1.)    Right click on Bill POS 4 folder

2.)    Select Properties

3.)    Click on Sharing

4.)    Check Share this folder on the network

5.)    Check Allow network user to change my files

(If your computer was getting massage like “Tb.mdb is open exclusively by other user…” That means you have not check the “Allow network user to change my files”)

Settings > Networking or click F9

 

Single: All the files from local Disk C:\

File Sharing: Source files from another computer.

Enter the name of the computer you want the source files from C\\Server Name\.

 

Reset: Settings > Reset or Click F11

 

Bill POS 4X-Charge Integration Guide

 

1.                  Install X-Charge on the computer designated as the X-Charge Server computer. 

2.                  Once X-Charge integration is turned on in Bill POS 4, no additional configuration is necessary.  The XCTransaction.dll has to be registered.  Bill POS 4 will default to the Transaction Folder set up in X-Charge Server Setup.

3.                  Run a test transaction.

 

a.                  On the Main Menu, click Take Out.

 

 

c.                  Select a food group on the right, such as Garlic Bread.

 

 

d.                  Select a specific kind of bread, such as Garlic Bread Cheese.

 

e.                  Click Back and Tender Recall.

 

g.      Enter ID (try 1133) and click Tender Recall again.

 

h.      Swipe credit card or enter information manually.  If swiping the credit card, the transaction will automatically start processing when the swiping is complete.  If keying the credit card information manually, user will have to enter the Tender amount prior to submitting the transaction for processing.

i.       

j.         Once transaction is successful, the first receipt will automatically print and user will be asked if a second receipt should be printed.
